Substitution Guidelines for Faculty Absence

In the interest of clear communication, student instructional needs, and fairness to colleagues who provide coverage for faculty who are out due to illness, or other documented absence, the following guidelines are established:

Class coverage for full-time faculty

  • Absence up to three consecutive days may be covered by other full-time colleagues so willing, without compensation as professional courtesy.
  • Part-time faculty will be compensated at the substitute rate in effect at the time for each class meeting they cover, whether consecutive or not, for up to two weeks. (As class schedules vary, apply whatever is the equivalent of up to two weeks of instruction.)
  • Full-time faculty will be compensated at the substitute rate in effect at the time, either from the start of the absence, if agreed to by the division chair, but in all cases after three days and up to two weeks. (As class schedules vary, apply whatever is the equivalent of up to two weeks of instruction.)
  • At two weeks or more of a faculty member’s absence, the substitute, whether full-time or part-time faculty, will be compensated at a pro-rated adjunct or overload per credit in effect at the time. (For example, in academic year 2018-19, the rate is $850/credit, for a three credit course, and adjunct/overload rate is $2550 for the semester, so a two-week substitute during a normal 15 week fall or spring semester, would receive $340 per credit.)

Class coverage for part-time faculty

  • Absence up to two consecutive days may be covered by other full-time colleagues so willing, without compensation as professional courtesy.
  • Part-time faculty will be compensated at the substitute rate in effect at the time for each class meeting they cover, whether consecutive or not, for up to two weeks.
  • At two weeks or more of a faculty member’s absence, the substitute, whether full-time or part-time faculty, will be compensated at a pro-rated adjunct or overload per credit in effect at the time.
  • In addition, the division chair will verify with HR that any part-time faculty with a 9-credit teaching assignment who is covering for two weeks or more will remain within allowable total work hours as established for part-time college employees.
  • Faculty should work with their division chair to find a substitute for short-term absences. The division chair is responsible for finding a replacement for long-term absences. The dean should always be notified of absences.
