  • Review the program rotation schedule published by the Provost’s Office to determine which
    programs are designated for review.
  • Notify the program faculty that are due for review.
  • Request a template clone from Amber at amber.hasz@nic.edu
  • If desired, request faculty be added to the template. Email Amber at amber.hasz@nic.edu
  • Schedule meeting with program faculty and the Sr. administrative assistant to review the following:
    • delineate who is responsible for which sections of the template
    • identify potential reviewers (minimum of two and at least one from the community/industry)
    • determine who will reach out to the reviewers – see example email
    • discuss potential dates (may be dependent on reviewer’s availability and dean’s availability) if you have more than one review to schedule in the year consider
      doing one in fall and one in spring
    • review the following timeline for completing the review document and set due dates
      • Document Preparation Timeline:
        • 6 weeks before review – Send to Division Chair for review and edits
        • 1 month before review – Send to Dean for review and feedback
        • 2 weeks before review – Send completed document to reviewers. Include:
          • Itinerary
          • Campus map and Parking Permit
    • Create the review itinerary and share with Dean for feedback – see example itinerary
    • Set official date
    • Schedule faculty and students to meet with the reviewers (provide reviewers with a list of faculty and students)
    • Ask Sr. Administrative Assistant to:
      • reserve meeting rooms
      • send meeting invites to Dean and Provost. Dean attends opening introductions, lunch (if in person), and closing exit summary. Provost attends only the closing exit summary meeting.
      • Make hotel and plane reservations, if needed (total review budget is $500)
      • Complete travel authorizations (if applicable)
      • Make food arrangements (if in person review)- breakfast or morning refreshments, lunch, and afternoon refreshments.
      • Prepare thank you gifts and cards for review team members. Communications & Marketing will provide SWAG. Some divisions have provided the reviewers a book or something personal made by the division.

After the review:

  • Complete travel reimbursement such as mileage (if applicable)
  • Ensure the reviewers feedback is in the document
  • Work with faculty to write the action plan (“Division Evaluation” section of the document) and have Dean review
  • Export the document to PDF, add supporting linked documents, and add the document to the Program Review Box folder.
  • Congratulate yourself on a successful review!!!
